"We Were Drowning in Paper Passes": How One North American Event Firm Standardized on RFID Wristbands

“We were drowning in paper,” says Maya Chen, operations director at Harbour & Pine Events, a Vancouver-based producer that runs more than 40 corporate conferences and weddings a year across British Columbia and Washington State. “Every event had its own badge, its own list, its own last-minute workaround.”

In early 2024, the company started testing rfid wristbands as a single credential for staff and guests. The idea was simple: one durable band that could check people in, control access to zones, and survive a rainy patio reception. The execution was not simple.

What follows is not a tidy vendor success story. It is a 10-month account of pilot failures, reader placement, collection bins, and the moment a wedding planner realized guests were keeping the bands as souvenirs.

A Growing Event Portfolio with a Credential Mess

Harbour & Pine is not a giant. It has 12 full-time staff and about 60 seasonal contractors. But its events are complex: a three-day tech summit for 2,500 attendees, a 180-guest wedding on a farm, a product launch with strict access zones. Staff used an employee id card for building access and meal vouchers. Wedding guests received a wedding reception invitation card that doubled as a seating assignment and a keepsake. Add lanyards, QR codes, and paper tickets, and the credential stack became a small logistics problem every weekend.

Chen’s team measured the waste: roughly 8,000 paper credentials, lanyards, and plastic sleeves per season. Some were recycled, most were not. The company wanted to cut single-use material, but sustainability goals had to survive real budgets. Reusable credentials only help if people return them.

From a sustainability standpoint, that return rate is the whole game. A reusable band that disappears after one event is usually worse than a paper pass that gets recycled. That tension shaped every decision that followed.

The Challenge: One Wristband, Two Very Different Audiences

Corporate events needed one set of rules. Staff needed zone access, break tracking, and a quick way to prove they were allowed backstage. Guests needed to get through the door without downloading an app or waiting in a line that stretched into the parking lot.

Weddings added a different pressure. The credential had to look good in photos, feel comfortable for hours, and not clash with a formal palette. Why RFID Wristbands Beat the Patchwork of Passes

They chose RFID wristbands for three reasons: speed, durability, and identity. A passive RFID chip inside the band does not need a battery. Readers can log a guest in under a second, and the band can survive handwashing, pool parties, and a dropped tray of pinot noir.

Staff received a rfid chip wristband encoded with role and zone permissions. Instead of swiping a card at three different doors, they walked through a reader and kept moving. For guests, the band replaced the paper ticket and the lanyard. For weddings, Harbour & Pine printed names and dates on the band, then packed them in welcome kits with paper bags with logo that guests could reuse.

The sustainability story was not automatic. Reusable silicone bands have a higher upfront footprint than paper. The company had to collect them, sanitize them, and store them. Chen estimated a break-even point around four uses per band. Below that, paper still won. Above that, the math shifted.

Implementation: From Employee ID Card Pilot to Wedding Season

The pilot ran at three corporate events in February. The first day was rough. Readers near metal doors missed about one in five taps. Staff held up the line trying to reposition their wrists. By day two, the team moved readers away from metal frames and added a second antenna angle. Misreads dropped to a manageable level.

Training mattered more than hardware. The employee id card process had been familiar for years: clip it on, swipe it, forget it. A wristband changed the motion. Staff had to learn to present the band to the reader, not wave it. Harbour & Pine made a 90-second video and repeated it at every morning briefing.

By May, the system went live for weddings. Check-in was faster, but collection was messy. Only 78% of reusable bands came back in the first month. Guests left them in hotel rooms, tossed them in trash bins, or took them home as keepsakes. The team added return bins at exits and a small deposit option for lost bands at corporate events.

Integration with the registration platform took two weeks and several late-night calls. The vendor’s API worked, but the event team’s data was messy. Duplicate guest records, nicknames versus legal names, and last-minute plus-ones all had to be cleaned before encoding. The lesson: the wristband is only as good as the list behind it.

Results After One Season: Faster Lines, Less Paper, Some Surprises

After one full season, the numbers were clear enough to justify the switch. Average check-in time fell from about 45 seconds to under 10 seconds. The company avoided roughly 6,000 paper credentials in a single season. Reusable band collection climbed to 89% by September.

Cost per event dropped about 12% after the upfront investment, mostly from less printing, fewer reprints, and fewer staff hours at check-in. Chen puts the payback period at 14 months. That is not instant, and it depends on keeping collection rates high. If return rates fall below 70%, the savings start to evaporate.

The surprise came from weddings. Guests liked the bands. They wore them to the after-party, then kept them in shadow boxes and scrapbooks. One bride asked if she could order extra bands for a welcome dinner. What started as access control became a small piece of the event’s story.

What They'd Do Differently—and Where They're Headed Next

If Harbour & Pine did it again, Chen says they would start with one repeatable corporate event, not three pilots at once. They would test readers in the actual venue before the week of the event. And they would treat collection as a design problem, not an afterthought.

Next season, they plan to expand rfid wristbands to two music festivals and a trade show. They are also testing a lighter paper band for one-day weddings where reusable silicone feels like overkill. For Chen, the goal is not to use RFID everywhere. It is to use it where the return rate, the guest experience, and the waste math actually line up.
